The Canton Fair (China Import and Export Fair) is the largest trade fair in the world, held in Guangzhou twice a year — spring and autumn — across three phases, each covering different product categories. A first visit is usually overwhelming: enormous halls, thousands of exhibitors, and days that pass quickly.

Two months before travelling

  • Visa: start early and confirm the correct visa type for a business visit.
  • Hotel: Guangzhou hotel rates rise sharply during the fair. Book early and choose somewhere on a metro line that reaches the venue directly.
  • Pick the right phase: there is no point attending the electronics phase when you want furniture. Check the phase categories before booking.

Two weeks before travelling

  • Pre-register and get your buyer badge to save queueing time.
  • Prepare business cards — ideally with Chinese on the reverse. This matters in local business culture.
  • Prepare your specification file: product images, quantities and technical specs, printed and digital.
  • Install the apps: WeChat (essential for follow-up), a translation app, and a map that works in China.

During the fair — a practical strategy

  1. Day one for scanning: walk the halls quickly and note the important booth numbers, without long discussions.
  2. Days two and three for depth: return to the shortlisted booths and discuss specs, prices and minimums.
  3. Photograph everything: the product and the booth card in the same frame. After 200 booths you will not remember who was where.
  4. Add them on WeChat immediately while standing there — many post-fair emails simply vanish.
  5. Ask the decisive question: "are you a factory or a trading company? Where is the factory?" — and write down the answer.

First-visit mistakes

  • Collecting catalogues without a system: you leave with a heavy bag you never open. Photograph instead of collecting.
  • Signing or paying inside the fair: do not commit any money before verifying the company and visiting the site.
  • Not visiting factories: the fair is a starting point. Set aside two days afterwards to visit your top three factories.
  • Neglecting stamina: walking the fair is genuinely exhausting. Comfortable shoes and enough water are not luxuries.

After the fair

Within a week, message everyone you met with a short note reminding them of the specific product and quantity, and request a formal quotation. A quick, organised follow-up sets you apart from hundreds of other visitors and gives you leverage in negotiation.

Is the visit worth it?

If you are after one specific product whose specs you already know, a good supplier may serve you without travelling. But if you are building a product line, or want to see trends and compare dozens of options with your own hands, the fair saves you months.
